How to Download CSV/XLSX Reports and What Columns does the file include?

Export Reports: How to Use in Practice

Here we explain how to Export Reports as CSV or XLSX, along with what information is found in the report's columns.


Downloading Reports

  1. In the Dashboard, you’ll see the Scheduled Campaigns.
  2. Click the three-dot icon of the Campaign whose reports you wish to view. This will open several options.
  3. From these options, select Reports. This will open the Reports for the selected Campaign. You can then click the three-dot icon at the end of the row on the selected Report to download the full report.
  4. Go to your Email and you should see a new message from hello@optimized.app


Report's Columns

The CSV report includes the following information for the selected time range:

Profile Id = unique ID generated by the system

External Id = additional identifier imported with the list, such as a customer number

First Name, Last Name

E-mail Address

Contact List

Direction = outbound, inbound or forwarded

Duration = call length

Attempt = which call attempt it was

Event = what happened during the call or message

Timestamp = the exact time when the Call/Message occurred

...

and any other information you might have added to the campaign, such as responses to open-ended questions.



HOW TO: Compare the Reachability of Different Target Groups

  1. Filter the Contact List column in the report to display only a specific target group, and, for example, select only Outbound calls from the Direction column.
  2. Then calculate the reachability percentage from the Event column by dividing the number of answered calls by the total number of calls (e.g., 100/200 * 100 = 50%).
  3. Perform the same calculation for another target group.
  4. This way, you can easily compare the reachability percentages across different target groups.


HOW TO: Assess the Impact of Call Timing on Call Outcomes

  1. Define the time resolution you want to compare (e.g., hourly, half-day, or daily).
  2. Sort the Timestamp data in the report into your chosen categories (e.g., using conditional formatting or manually with an extra Category column).
  3. Compare the reachability percentages across different categories (e.g., hours or days).
